2. Data We Collect

We collect two categories of personal data:

A. Booking & contact forms (online)

• Name
• Email address
• Travel dates and accommodation preferences
• Optional notes or messages

B. On-site registration (upon arrival)

Under Vietnamese law (Law on Residence No. 68/2020/QH14 and related regulations), all accommodation providers are required to collect and report guest identification data to local authorities. Upon check-in we therefore collect:

• Full name
• Date of birth / age
• Nationality
• Passport or ID number
• Check-in and check-out dates

This data is collected physically at check-in and reported to the local police as required by Vietnamese law. We have no discretion to waive this requirement.

3. Purpose of Processing

Online form data is used exclusively to respond to your inquiry and coordinate your stay. On-site identification data is collected solely to comply with Vietnamese legal obligations regarding guest registration. Neither category of data is used for marketing, profiling, or any commercial purpose.

3b. Legal Basis for Processing

Online form data is processed on the basis of your consent and our legitimate interest in responding to your inquiry (Art. 6(1)(a) and (f) GDPR).

On-site identification data is processed on the basis of a legal obligation (Art. 6(1)(c) GDPR) — specifically the requirements of Vietnamese accommodation registration law.

4. Data Retention

We follow a minimal retention approach:

• Online inquiries without a booking: deleted within 14 days of last communication
• Online booking correspondence: deleted within 14 days after the end of your stay
• On-site guest registration data (passport/ID): retained only as long as required by Vietnamese law, then permanently deleted

No data is archived, backed up to external services, or retained beyond these periods. All deletion is permanent.

5. Third-Party Services

This website embeds the following third-party services which may collect data independently:

Google Maps
We use Google Maps iframes to display our location. When the map loads, Google may collect your IP address and set cookies. This is governed by Google's Privacy Policy. Legal basis: legitimate interest (Art. 6(1)(f) GDPR).

Vimeo
We embed a video hosted on Vimeo. When you interact with the video player, Vimeo may collect data including your IP address. We use the dnt=1 (Do Not Track) parameter in the embed to minimize tracking. See Vimeo's Privacy Policy.

Strato (Hosting)
This website is hosted by Strato AG, Germany. Strato's servers automatically log standard access data (IP address, browser type, page visited, timestamp) for security and operational purposes. These logs are retained for up to 7 days. Strato may use web analytics tools - please refer to Strato's Privacy Policy for details.

6. Cookies

This website uses only technically necessary cookies (e.g. WordPress security tokens). We do not use marketing, advertising, or analytics cookies ourselves.

Third-party services (Google Maps, Vimeo) embedded on this site may set their own cookies when you interact with them. You can manage or block cookies through your browser settings.

7. Data Sharing

We do not sell, rent, or share your personal data with any third parties, except where required by law or as described under Third-Party Services above.

8. Your Rights

Under GDPR and applicable law you have the right to:

This website is served over HTTPS. Form submissions are encrypted in transit. We take reasonable technical and organizational measures to protect your data against unauthorized access, loss, or misuse.

10. Intellectual Property

All photos and videos on this website were created by Bruda Club and its founders. No licensed stock imagery or AI-generated content is used.
